When you walk through our doors or hit up our website, we collect a few things to make sure we're providing you the best training experience possible. Here's the breakdown:

Personal Identification

Your name, email, phone number, home address - basically the stuff we need to reach you about your sessions or if there's a class change. We'll also grab your birthdate to keep track of milestones and make sure you're getting age-appropriate programming.

Health & Fitness Data

This one's crucial for us. We're talking medical history, current fitness level, injuries you've had, any medications that might affect your training. When you're pushing heavy weight or going all-out in HIIT, we need to know what your body can handle. Emergency contact info falls here too - because safety first, always.

Payment Information

Credit card details, billing address, membership type - the financial stuff. We use secure payment processors, so your card info doesn't just sit on our servers.

Training Progress

We track your PRs, attendance records, body composition changes if you opt in for that, workout preferences. It's how we measure if our programming's actually working for you.

We're not in the business of hoarding data for fun. Everything we collect serves a purpose in making your training better. Here's what we actually do with it:

  • Program Design: Your fitness history and goals help us build training plans that'll actually move the needle. Can't write a solid Olympic lifting program if we don't know you've got a shoulder issue, right?
  • Class Management: We use your info to schedule classes, send reminders, let you know when spots open up. Basically keeping the gym running smoothly.
  • Nutrition Planning: If you're working with our nutrition coaches, they need your dietary preferences, restrictions, goals to craft meal plans that don't suck and actually work.
  • Communication: Sending you updates about your membership, new classes we're launching, special training workshops. We won't spam you - just the important stuff.
  • Safety: Emergency contacts are there in case something happens during training. We've never had to use them, but better safe than sorry.

Service Providers

Our payment processor needs your billing info to charge your card. Our email platform needs your email to send class reminders. Our booking system needs your schedule preferences. These companies are contracted to keep your data secure and can't use it for anything else.

Legal Requirements

If we're legally required to hand over information - like if there's a court order or we need to protect someone's safety - we'll do it. But it's gotta be legit legal stuff, not just someone asking nicely.

What We DON'T Do

We don't sell your data to marketing companies. We don't share your personal training info with other gyms. We don't post your progress pics without explicit permission. Your business is your business.

Yeah, our website uses cookies. Not the post-workout cheat meal kind - the internet tracking kind.

We use 'em to remember your login, keep your class schedule preferences saved, track which pages people actually look at so we know what content's useful. Pretty standard stuff for any modern website.

We also use analytics tools (like Google Analytics) to see how people use our site. It's anonymous data - we can see "someone from Vancouver spent 3 minutes on the Olympic lifting page" but not "John Smith from 123 Main St looked at this."

You can disable cookies in your browser settings if you want, but heads up - some features might not work as smoothly.

It's your data, so you've got rights. Here's what you can do:

  • Access: Want to see what info we've got on you? Just ask. We'll send you a copy within a reasonable timeframe.

  • Deletion: Leaving the gym? You can request we delete your data. We'll need to keep some records for legal/financial reasons, but we'll wipe what we can.

We take security seriously - like, as seriously as proper squat form. Here's how we protect your stuff:

All data transmission happens over encrypted connections (that's the little lock icon in your browser). Our servers are secured with industry-standard firewalls and access controls. Only staff who need access to do their jobs can see your personal info - our front desk person doesn't have access to your medical history, for example.

We regularly back up data and update our security measures. Payment information goes through PCI-compliant processors, which is fancy talk for "they follow strict security standards for handling credit cards."

That said, no system's 100% bulletproof. We do everything we reasonably can to keep your data safe, but if there's ever a breach, we'll let you know ASAP and tell you what happened and what we're doing about it.

Health info's in its own category because it's extra sensitive. When you fill out those intake forms about injuries, medical conditions, medications - that's protected health information under Canadian privacy laws.

We keep it locked down tight. Only your assigned coaches and trainers can access it, and only when they need it to program your training safely. We won't share it with other members, post it online, or use it for anything besides making sure you don't get hurt in our gym.

If you're working with our nutrition coaches, they'll have access to relevant health info too. But it stays within the team actually working with you.

We keep health records for 7 years after your last visit, which is what's required by Canadian law. After that, they're securely destroyed.

We train athletes of all ages, including teens getting into strength sports. If you're under 18, we need a parent or guardian's consent before collecting any of your information.

For youth athletes, parents have access to all their kid's training data and can request changes or deletion at any time. We'll also communicate directly with parents about membership stuff, schedule changes, and any concerns that come up during training.

We're extra careful with minors' data and never use it for marketing purposes.

Things change - new laws get passed, we add new services, technology evolves. When we need to update this privacy policy, we'll post the new version here with an updated date at the top.

If it's a big change that affects how we use your data, we'll shoot you an email to let you know. Otherwise, you can check back here anytime to see if anything's changed.
